Stockra provides enterprise-style reports that can be printed directly or exported as PDF files for archiving, sharing, and auditing. Reports follow a consistent layout across modules (Inventory, Movements, Partners, Audit Log, etc.), so users always know where to find key metadata, filters, and totals.
Where you generate reports
Most operational pages include actions such as:
Print: generates a print-ready version for immediate printing (A4 recommended).
Export / PDF: generates a PDF document (often prepared in the background and tracked in Export Center).
Standard report structure (what you see in the PDF/print layout)
Header (Company Identity)
The report header includes company information (name, address, phone, tax number). This data is pulled from Administration → Enterprise → Company information and ensures documents remain official and consistent.
Report Title & Scope
A clear title indicates the report type (example: “Movements Ledger”). A scope label clarifies whether the report includes:
All results (unfiltered), or
A filtered subset (based on your selections).
Report Metadata (Traceability)
Each report includes audit-friendly metadata, typically:
Report ID: unique identifier for the generated report.
Generated at: timestamp of report generation.
Scope: summary of applied scope (e.g., “All results”).
A QR code is included to allow fast lookup of the report reference/identifier, helping teams validate or re-reference the same output later.
Summary & Totals
Reports include a summary block that provides key totals at a glance before the detailed table.
Example (Movements Ledger):
Total movements
Inbound quantity total
Outbound quantity total
This helps management and auditors understand the results without reading every row.
Filters (Transparency)
A dedicated filters section lists exactly what was applied at the time of export/print, such as:
Direction (IN/OUT/All)
Partner
Item
Employee
Date range
Search term
This is critical for audit integrity: anyone reading the report can immediately understand what the report includes (and what it does not).
Detailed Table (Operational Listing)
The main report body is a structured table with consistent columns appropriate to the report.
Example (Movements Ledger):
Date
Type (IN/OUT)
Reference
Partner
Employee
Items
Qty (positive for inbound, negative for outbound)
Files (attachments count)
Note
This table is optimized for printing and documentation, using fixed column headers and aligned totals.
Footer (Accountability)
At the bottom, reports include:
Generated by (user name)
Report ID and total rows
Page number (useful for multi-page exports)
Print vs PDF (when to use each)
Print
Use Print when you need a physical copy for:
Warehouse paperwork
Daily shift handover
On-site audit files
Manager sign-off
PDF Export
Use PDF when you need:
Digital archiving
Email/share with accountants or management
Attachment to compliance records
Consistent formatting across devices
Export Center integration
If your system is configured to generate exports in the background, the resulting PDF/Excel/CSV files can be tracked and re-downloaded from Output management → Export center. This also provides a history of generated reports and who requested them.
Best practices
Configure an A4 report printer in System → Printers and set it as Default for Reports to ensure consistent printing.
Keep company information accurate; it appears automatically in report headers.
When sharing externally, prefer PDF for consistent layout and easy verification (Report ID + generated timestamp + filters).
Use filters deliberately and always verify the Filters section in the output before archiving.
Note
For large datasets, consider exporting CSV/XLSX for analysis and PDF for final archival/printing.
